The Opportunity:
Grafana is looking for a highly motivated Senior Executive Assistant to support our SVP, Global Customer Solutions. This is not a traditional EA role: while it requires strong executive support skills, the primary differentiator is the ability to think and operate as a program manager — owning coordination, organization, and forward momentum of a broad portfolio of strategic initiatives across the global Customer Solutions organization. You will serve as an operational hub for the team, ensuring programs move forward, decisions get made, and nothing falls through the cracks. The role requires energy, comfort with complexity, and a proactive approach to leveraging AI tools and automation.
Responsibilities
Executive Support
- Maintain a busy calendar and daily schedule for the SVP, fielding and prioritizing requests with sound judgment
- Coordinate extensive domestic and international travel
- Triage, organize, and draft responses to emails as necessary
- Manage expenses proactively
- Ensure and maintain confidentiality of communications and documents
- Attend meetings, document discussions, and distribute action items
- Coordinate and host group meetings, leadership meals, and management team off-sites
- Work with sales and customer success teams to coordinate customer meetings and visits
- Plan and execute events and leadership meetings, including occasional domestic and international travel for logistics and on-site support
- Handle occasional personal tasks for the executive as needed
- Coordinate with other EAs at Grafana on events, calendars, and best practices
- Coordinate temporary office and meeting space as needed
Program Management
- Own the operational cadence of the Global Customer Solutions organization — track active programs, surface blockers, and ensure key initiatives stay on schedule
- Maintain a centralized program tracker across strategic workstreams to provide real-time status, priorities, and open decisions to the SVP and leadership
- Drive accountability across cross-functional programs by coordinating with team leads, following up on commitments, and escalating when needed
- Help design and implement lightweight program management processes and frameworks that scale with the team
- Prepare and maintain materials for leadership reviews, all-hands meetings, and executive briefings (agendas, status decks, pre-reads)
- Assist in planning and executing quarterly business reviews and organizational planning cycles
- Identify inefficiencies and propose improvements to team operations
- Serve as a coordination layer between the SVP and internal stakeholders including Sales, Marketing, Finance, People Ops, and Product
- Support rollout of org-wide initiatives by managing timelines, tracking deliverables, and communicating progress
AI & Automation
- Identify tasks and workflows that can be automated or accelerated through AI tools and propose implementations
- Build and maintain lightweight automations to reduce manual overhead (e.g., meeting summaries, status updates, reporting)
- Stay current on emerging AI and productivity tools and advise on their application
- Prior experience with AI tools (ChatGPT, Claude, Notion AI, Zapier, etc.) is a strong plus
Requirements
- Experience in a tech or high-growth startup environment
- Proven success supporting one or more VP or C-level executives in a dynamic, fast-moving environment
- Hands-on program or project management experience — able to run a workstream, not just support one
- Interest in growing toward a program management career
- Operates with high urgency and thrives in ambiguous, changing environments
- Experience managing internal communications, planning executive off-sites, and coordinating content for leadership reviews
- Highly organized with exceptional attention to detail and the ability to manage competing priorities
- Able to handle sensitive and confidential information with discretion
- Experience working remotely and/or internationally and collaborating across distributed teams
- Excellent written and verbal communication skills and ability to build strong relationships in a remote-first environment
- Eagerness to leverage AI and automation tools; willingness to experiment
- Highly competent with Google Workspace (Docs, Sheets, Slides, Calendar)
- BA/BS degree preferred; PMP or equivalent certification is a plus
Compensation & Rewards
- In the US, the annual compensation range for this role is $127,000 - $153,000. Actual compensation may vary based on level, experience, and skillset.
- All roles include Restricted Stock Units (RSUs)
