Details
Grafana Labs is seeking an Incentive Compensation Systems Manager to drive the systemization, automation, and continuous improvement of commission operations. This is a high-impact individual contributor role reporting to the Senior Manager, Incentive Compensation. The role involves identifying gaps in existing processes, replacing manual workarounds with scalable systems, and improving the predictability, accuracy, and speed of commission, quota, and compensation-plan administration in a fast-paced, remote-first environment.
The role provides exposure to the end-to-end flow of incentive compensation data from CRM systems such as Salesforce, People systems such as Workday, and calculation engines such as Xactly, through to payout and reporting systems such as BigQuery. The successful candidate will partner with Incentive Compensation Operations, Finance & Strategy, People Operations, Revenue Operations, and IT/Data teams to improve processes, integrations, tooling, and workflows.
Responsibilities
- Map current-state workflows across plan administration, calculation, approvals, and payout.
- Identify and prioritize manual, repetitive, or error-prone processes based on risk, time cost, and business impact.
- Design and build automated workflows, integrations, and tooling for data pulls, reconciliations, approval routing, and exception handling.
- Replace ad hoc spreadsheets and one-off scripts with durable, repeatable systems.
- Own and configure Xactly instances, including Incent and Connect, calculation rules, plan logic, and workflows.
- Identify opportunities to use AI tools and LLM-driven agents for exception detection, data reconciliation, plan document review, and common compensation questions.
- Build AI-enabled workflows and integrations and put them into production.
- Partner with Incentive Compensation, Finance & Strategy, People Operations, Revenue Operations, and IT/Data teams to maintain reliable data flows between systems.
- Establish documentation, standard operating procedures, and controls for systematized processes.
- Create a continuous-improvement cadence for identifying and eliminating manual work.
- Translate incentive compensation process needs into system requirements and communicate system and data constraints as practical process recommendations.
- Support urgent requests during payout cycles while systematizing recurring fixes to reduce firefighting.
Requirements
- 5+ years of experience in incentive compensation, sales operations, revenue operations, or a related systems or process-improvement role.
- Experience in a fast-paced technology or SaaS business is highly preferred.
- Demonstrated ability to identify broken or inefficient processes and build systemized solutions.
- Hands-on SQL experience and the ability to query and reconcile data across systems.
- Experience building automated workflows using scripting, workflow or RPA platforms, or incentive compensation management systems.
- Familiarity with ICM platforms such as Xactly, CaptivateIQ, Varicent, or SPIFF platforms.
- Familiarity with CRM systems such as Salesforce, HRIS platforms, data warehouses such as BigQuery, and compensation management platforms such as Xactly.
- Strong communication skills and the ability to translate day-to-day processes into clear system requirements and process changes.
- Understanding of quotas, accelerators, SPIFFs, and payout timing sufficient to identify process failures and risks.
Bonus Qualifications
- Experience in a high-growth SaaS, cloud, or open-source company, particularly a public company or an organization undergoing IPO readiness.
- Experience working in globally distributed, remote-first organizations across multiple time zones.
- Experience documenting datasets and workflows for Model Context Protocol (MCP) server ingestion.
- Experience building AI skills or agents for incentive compensation data discovery, exception detection, or reporting.
Compensation And Rewards
- Base compensation in Canada: $145,000–$175,000 CAD per year.
- Restricted Stock Units (RSUs) are included for all roles.
- Global annual leave policy of 30 days per year, including 3 Grafana Shutdown Days, subject to local legislation.
