Details

ING Hubs Poland is hiring for a Document Management Specialist supporting the Tech NL CIO Office.

The expected salary for this position is 7,000–8,500 PLN per month. The financial ranges specified in the announcement are adjusted and may differ from the range specified in the remuneration regulations.

Responsibilities

  • Improve the quality, transparency, and timeliness of management information by connecting data from different sources and producing actionable insights for senior stakeholders.
  • Coordinate across Tech NL, Finance, Procurement, Risk, and vendors to unblock delivery, align expectations, and ensure adherence to agreed ways of working.
  • Help maintain audit-ready processes and support continuous improvements in approval flows, documentation quality, and control evidence.
  • Define and refine relevant metrics, translate objectives into measurable outcomes, and track progress with clear RAG status and narratives where needed.
  • Act as a trusted advisor to the CIO Office lead and domain leadership by structuring ambiguity, simplifying complexity, and driving outcomes.
  • Guide users on procurement processes in eProfit/iBuy, including requisitions, invoices, contracts, purchase orders, roles, visibility, and approval routing.
  • Investigate and escalate blockers, such as contract visibility or updates and missing fields, and correct data to keep workflows moving.
  • Coordinate with Finance and Procurement to maintain accurate reporting inputs, including forecast IT cost and Baseline versus Change, and support workload estimations for the monthly cadence.

Requirements

  • A proven track record and skills in governance, stakeholder management, and structured execution in a complex Tech, Finance, or Procurement environment.
  • Organizational sensitivity and the ability to collaborate effectively with diverse stakeholders.
  • Experience working in a large global matrix organization.
  • Proficiency in stakeholder management and comfort operating at senior leadership levels.
  • Excellent English proficiency.

Team

The Tech NL CIO Office supports the CIO of ING NL, MT Tech NL, and Chapter Leads in maintaining control of their IT services. The office supports operational HR, finance, sourcing, communications, privacy and risk, and contracting functions.

The team enables transparent decision-making by connecting strategy to execution through consistent financial and workforce reporting, clear ways of working, and strong alignment with Finance, Procurement, Risk, and other enabling functions. It provides a consistent, transparent, and efficient approach to how Tech NL delivers value to the business, supporting strategic execution, operational performance, and compliance with internal control requirements.

The specialist will report directly to the Tech NL CIO Office lead and support the Tech NL CIO agenda by strengthening governance, portfolio and financial steering, management information, and cross-functional execution with stakeholders across Tech NL, Finance, Procurement, and suppliers.
